BAWDESWELL VILLAGE HALL & RECREATION GROUND DEVELOPMENT PROJECT

MINUTES OF A MEETING OF THE STEERING GROUP HELD ON SATURDAY 4 JUNE 2005

IN THE VILLAGE HALL AT 10.00 AM

   PRESENT:    James Lilwall (Chairman), David & Janet Cockburn, Gillian Horner,

                    Marietta Menzies, Fel Roberts, Graham Swain, Nicholas Ward

 

APOLOGIES:    Peter Jervis, John Menzies, Dave Roberts, Jayne Bown,

                        Piers Wallace.

 

Matters Arising from the Minutes of the last Meeting

Bowls Club – The Chairman has not contacted them.  DC said he feels they should be contacted but the Chairman thinks because the focus is more on what the village wants at this stage it is unnecessary at the present time.

Alteration to previous Minutes – on page 2, paragraph 2, line 9, the number of inhabitants of Little Ellingham should read 250 people not 2,500.

 

Web Site

DC reported that AK has done a lot of work and only has the front page to complete.  This will be done when a Mission Statement has been agreed.

 

Brand Identity

The Chairman tabled some proposed logos prepared by PW.  There was some discussion on these and one was agreed upon with minor changes.  The Chairman will thank PW for them and talk to him about the suggested changes. 

 

Mission Statement

MM tabled copies of the draft mission statement she and JB had prepared.  There was much discussion and the agreed wording is as follows: -

 

“Project Bawdeswell

 enhancing our community

 

To establish the recreational and social needs of our community and to seek ways to create multi-functional facilities with the flexibility to allow for growth and development.”

 

Community Survey

It was agreed to defer this item until the next meeting when it will be at the top of the agenda.  The questionnaire is the primary focus for the project and it was agreed that everyone should forward to AK any questions they think should be included and it is hoped that AK will have a draft questionnaire prepared and forwarded to members of the committee by the next meeting.

 

Date Lines

It was agreed that we should aim to undertake the Community Survey before Christmas and it was agreed that October is the month to aim for the distribution of the questionnaire.  The Chairman felt that a number of different ways could be used to gain completed questionnaires, i.e. by making appointments and interviewing villagers and completing forms for them.  GH suggested that the School Parents’ meeting could be used for parents’ questionnaires.  FR said that she felt a questionnaire completed in the summer would be more positive because people will be focusing on outside activities, but it was agreed that the questions should include a seasonal take.  Negative comments on the difficulties of attending events at the village hall in the winter, is information that will support the necessity for a new hall.  All negative responses and non-returns will be logged.

 

Any Other Business

School Update

GH reported that the school is now under the Children’s Service, which covers education, social services, etc.  There are also suggestions to extend the use of school’s facilities for the benefit of the wider community.  The school is now providing freshly prepared meals and there has been a parents’ lunch day.  It is hoped to make this a monthly occurrence and perhaps it could be extended to the larger community. 

 

GH also reported that work has been done on the Travel Plan, covering transport through the village, parking and cycle proficiency.  The idea was put forward that a safe route from the village hall car park to the school could be implemented, so that parents would park at the hall and walk to the school from there.  

 

GH reiterated how helpful it would be to the school to have the use of a hall where a performance could be put on.  She mentioned the visit of a school choir and band from Holland last year who together with Bawdeswell School children performed a concert which unfortunately could only be attended by the parents of the Bawdeswell children taking part and not the wider school community let alone village community.  She went on to say that she had discovered that the nearest Family Planning Clinic is in Norwich.  She thinks this is another service that could be established in the Village Hall. 

 

Little Ellingham

MM tabled documents received from Veronica Savage: Grant Guidelines and the Business Plan for the Little Ellingham project, and these will be included in the circulation folder.  The Chairman stated that he is hoping to find a date when Jean Hanks can come and speak to us.

 

DC asked what we may be able to do at the fete to publicise the Project, the Chairman said we are not forward enough at this stage to display anything.

GS reported that he is doing some work on the entrance to the hall and wondered what the committee thought about a sign saying “Welcome to the Village Hall”.  It was decided that this was a decision for the Parish Council.
